[How To] Track the Last Activity Date in Microsoft Dynamics 365 Sales

Why Tracking Activity Dates Matters

Knowing the last activity date allows sales teams to quickly see when they last engaged with a lead, contact, or account. If a prospect hasn’t been contacted in a while, it might be time to re-engage.

Meanwhile, the next activity due date ensures that sales reps never miss an upcoming call, meeting, or email. This field provides a clear schedule of future interactions, improving responsiveness and boosting conversion rates.


How to Create Last and Next Activity Date Fields in Dynamics 365

To automate activity tracking in Dynamics 365, follow these steps:

Step 1: Create the Last Activity Date Field

  1. Go to Power Apps (make.powerapps.com) and open the Lead table.
  2. Create a new column called Last Activity Date.
  3. Set the data type to Date and Time, format it as Date Only, and change its behavior to a Rollup field.
  4. Configure the rollup settings:
    • Select Activities as the related entity.
    • Set the aggregation to Maximum (Max) of the Actual End Date of the activity.
  5. Save and close the configuration.

Step 2: Create the Next Activity Due Field

  1. Repeat the above steps, naming the field Next Activity Due Date.
  2. Set the aggregation to Minimum (Min) of the Due Date instead of Max.
  3. Filter the Activity Records to use only Open Activities
  4. Save the field and add it to the form.

Adding the Fields to Views and Forms

Once the fields are created, add them to your Lead, forms for easy access. You should also include them in your Open Leads views to monitor past and future activities at a glance.
